Meeting Objectives
- Continue to build understanding and commitment for person- and family-centeredness.
- Provide opportunities for collaboration between the Department and members with the goal of improving member experience.
- Develop clear, actionable recommendations for the Medical Care Advisory Committee (MCAC).
- Strengthen alumni council collaboration by preparing for the December recommendation presentation.

Medical Care Advisory Committee (MCAC) Update
Kyra Acuna joined to provide updates on the MCAC and present a draft MCAC Meeting Evaluation Form developed at the request of the Alumni Council. Key points included:
- The evaluation will gather feedback on the Alumni Council’s presentation, including content clarity, delivery, and usefulness.
- The form currently includes both grid-style satisfaction ratings and open-ended questions. One member noted that some items felt duplicative.
- The group discussed how grid versus individual questions affect the usability and readability of resulting data.
- Alumni Council revisions will be incorporated prior to distributing the form after the MCAC meeting, which will be held on December 18, 2025.
Kyra additionally provided feedback on the Council’s practice presentation delivered earlier that day at the Member Experience Advisory Council (MEAC) meeting:
- The presentation was well organized, well-paced, and clear.
- Supported the MEAC member’s suggestion to include available survey data points (e.g., number of respondents, magnitude of concerns) could strengthen the narrative.
- Recommended adding a brief pause-for-questions slide immediately after the “What’s Working / What’s Not Working” section to allow MCAC clarification before recommendations are presented.
Discussion about the Renewal Recommendation Presentation
The Council engaged in a discussion reflecting on the practice presentation that was given earlier in the day to MEAC and the feedback received.
Council members discussed:
- The importance of rehearsing aloud rather than silently reviewing slide content.
- Challenges with reading slides and quotes verbatim vs. providing context. Several members affirmed that reading quotes and talking about the slides can increase impact.
- Ensuring the presentation remains member-centered and clear without overwhelming MCAC with overly detailed process explanations.
Slide Deck Refinements
A detailed working session followed the discussion to refine content, structure, and talking points for the Renewal Recommendations presentation. Members reviewed each slide and shared their thoughts and ideas. HCPF staff documented their ideas to create a draft of the speaker notes. Members also agreed to a presenter for each slide. Several enhancements to the presentation were identified:
- Add MEAC/Alumni Council Overview refresher slide: Reinforce that MEAC is a dynamic membership body with quarterly turnover and recurring identification of similar issues. This demonstrates that renewal challenges are experienced broadly.
- Add Renewal Process Graphic: A simple visual illustrating the steps of the renewal process.
- Add Summary Slide – “What’s Not Working”: Council members agreed a grouped summary slide should precede detailed pain points.
- Member Quotes Formatting: Members emphasized the importance of reading key quotes aloud. The team agreed to highlight the most impactful quotes and include additional contextual speaker notes.
- Remove/Consolidate Decision Notice Slides: A duplicate slide on decision notices was identified and removed, with key quotes migrated to earlier sections to avoid redundancy while preserving important member testimony.
- Add Questions for MCAC Discussion Slide: The council drafted a final slide including several questions for MCAC to respond to after the presentation.
Next Steps and Planning
- HCPF staff will finalize the slide deck, including the new graphic and updated formatting, and distribute to the group along with the draft speaker notes document.
- Council members will review assigned slides, update speaker notes as needed, and prepare for the MCAC presentation.
- Kyra Acuna will finalize the evaluation form after receiving edits.
- To meet MCAC deadlines, the group will aim to finalize the slide deck by Thursday, December 11, 2025.
